Social areas — facility details and tariff

Social areas — facility details and tariff

Pool, gym, meeting room and open areas are defined with their capacity, opening hours and price tariff. A facility can be opened free to residents; exceptions such as age or student status are kept on separate rows.

  • Hourly, daily and entrance fee items
  • Free and discounted exception rows
  • Capacity, opening-closing time and deposit rate
  • The responsible member of staff is chosen from the HR list
  • The facility name is chosen from a list, and you can add your own permanently
Booking calendar — occupancy hour by hour

Booking calendar — occupancy hour by hour

The chosen facility's day is laid out on a time grid: free hours, provisional bookings and confirmed bookings in different colours. Clicking a free hour opens the quick booking form, and the fee is calculated from the tariff.

  • Daily time grid and weekly occupancy strip
  • Today, tomorrow and this week shortcuts
  • The day's income and the number of busy and free hours
  • Fee and deposit calculated from the time range
Bookings — deposit and remaining collection

Bookings — deposit and remaining collection

The person booking can be an owner, tenant, resident or an outside guest. The fee and deposit are suggested from the facility tariff, and payment is taken on the same screen.

  • Reserved, confirmed, completed and cancelled statuses
  • The deposit and the amount collected are followed separately
  • Filters by facility, status and date range
  • Summary of deposits taken and remaining collection
Facility sales — the till screen

Facility sales — the till screen

A categorised product grid on the left, the basket on the right. When a customer is selected, student or staff exceptions are applied to the rows automatically; if several exceptions apply, the most favourable is chosen.

  • Cash, credit card, mobile terminal, physical terminal and payment link
  • Split payment and change calculation
  • Fixed discount shortcuts for the whole receipt
  • Parking a receipt and continuing later from where you left off
  • Receipt preview and printing at the end of the sale
Products and services — the till's price list

Products and services — the till's price list

Everything sold at the till is defined here: category, code, unit, VAT rate and price. For a product with stock tracking on, once the stock runs out it can no longer be selected at the till.

  • Product and service distinction, with icon-based category management
  • Duration and linked facility for a service
  • Price exceptions for residents, owners, tenants, staff and students
  • Export as a price list
Sales receipts — breakdown, refund and reprint

Sales receipts — breakdown, refund and reprint

Receipts issued at the till are listed by date range; the detail shows the line breakdown and the payment methods. If a receipt is refunded or cancelled, the related collection record is cancelled with it.

  • Receipt number, customer, amount and amount collected
  • Refund and cancellation
  • Reprinting the same receipt later
  • Receipt count, sales amount and total discount
Fixed assets — inventory and QR label

Fixed assets — inventory and QR label

Every asset is recorded with its inventory code, brand, model, serial number, location, purchase price and warranty end. After recording, a QR label is produced; for an asset written off, a report is opened.

  • Working, faulty, under maintenance and scrapped statuses
  • Inventory value and status distribution on summary cards
  • Maintenance history: date, firm, amount, result
  • The responsible party is chosen from the account cards
  • A warning box for assets overdue for maintenance
Maintenance tracking — overdue and approaching

Maintenance tracking — overdue and approaching

Assets due for periodic maintenance are ordered by days remaining; overdue rows read in red. A 7, 30, 90 or 365 day window is chosen and the list refreshes the moment you choose.

  • Day window or calendar month filter
  • Assigning a service firm from the row
  • Changing the status to under maintenance, faulty or scrapped
  • Letterheaded output with days remaining and period columns
